Levion Car Rental ("Levion", "we", "our", or "us") is a car rental company based in Ottawa, Ontario. We take your privacy seriously and want to be clear about what information we collect, how we use it, and the choices you have.
This Privacy Policy applies to information collected through our website, over the phone, in person at pickup or delivery, and through our vehicles during a rental. By using our services, you agree to the practices described here.
We handle personal information in accordance with the Personal Information Protection and Electronic Documents Act (PIPEDA) and applicable Ontario law.
1. What We Collect
The information we collect depends on how you interact with us. It typically includes:
- Identity information: your full name, date of birth, driver's licence number and issuing province or state, and a copy of your licence
- Contact information: your home address, phone number, and email address
- Payment information: credit or debit card details and billing address (card numbers are processed by our payment provider, not stored by us)
- Rental information: pickup and return dates and locations, delivery address, the vehicle assigned to you, additional drivers, and your rental history with us
- Insurance information: the name of your insurer and policy details when relevant to a claim or coverage question
- Vehicle usage information: mileage, fuel level, location, and telematics data collected during the rental (see Section 4)
- Website information: your IP address, browser type, device type, and pages viewed when you visit levioncar.com
- Communications: the content of emails, texts, and calls you exchange with our team
We collect this information directly from you, through your use of our website and vehicles, and in some cases from third parties such as identity verification services and insurance providers.
2. How We Use It
We use your information to:
- Process reservations, deliveries, payments, and rental agreements
- Confirm your identity and check that you are eligible to rent a vehicle
- Communicate with you about your booking, pickup, and return
- Handle billing, refunds, and disputes
- Recover unpaid rental charges, damage costs, tolls, and traffic fines from your rental
- Detect and prevent fraud, theft, and misuse of our vehicles
- Meet our legal obligations and respond to lawful requests from authorities
- Improve our services and customer experience
- Send you service updates and, with your consent, occasional marketing
3. Consent
Under PIPEDA, we collect and use your information based on your consent. When you make a reservation, sign a rental agreement, or otherwise provide information to us for a clear purpose, we treat that as your consent for that purpose. Where we ask for optional information (for example, to send you marketing emails), we ask separately.
You can withdraw consent at any time, subject to legal or contractual limits and reasonable notice. Withdrawing consent for essential information (such as payment or identity verification) may mean we can no longer provide you with a rental.
4. GPS and Vehicle Telematics
Please note: some or all of our vehicles are fitted with GPS tracking or telematics devices. By renting a vehicle from us, you acknowledge this and agree to how the information is used, as set out below.
Where fitted, these devices may record vehicle location, mileage, and trip data during the rental period. We use this information to:
- Recover vehicles that are not returned as agreed or are suspected stolen
- Confirm mileage and enforce mileage-related terms of the rental agreement
- Investigate accidents, damage, or insurance claims
- Support law enforcement requests where required by law
We do not use telematics data to monitor drivers for marketing purposes. Data collected outside the rental period is limited to what we need to manage the vehicle itself.
5. Who We Share It With
We share your information only where necessary. Categories of recipients include:
- Payment processors to authorize and process transactions
- Identity verification and fraud prevention providers to confirm your identity and detect fraud
- Insurance companies and claims administrators if you are involved in an incident
- Toll authorities, parking agencies, and traffic enforcement bodies to identify the driver responsible for a charge or fine incurred during the rental
- Law enforcement, courts, and government authorities when required by law or to protect our rights and property
- Service providers supporting our operations (IT, hosting, communications, telematics), bound by confidentiality obligations
- Collections agencies and legal counsel where amounts are owed and unpaid
- A successor entity in the event of a sale or restructuring of the business
We do not sell your personal information to third parties for their own marketing.
6. Payment Information
Payment card details are processed by third-party payment providers that comply with the Payment Card Industry Data Security Standard (PCI DSS). We do not store full card numbers on our systems. A security deposit or pre-authorization hold may be placed on your card at the start of a rental and released when the vehicle is returned in acceptable condition, less any applicable charges. Release times depend on your card issuer.
7. Cookies and Website Analytics
Our website uses cookies and similar technologies to remember your preferences, understand how visitors use the site, and improve our services. Some cookies are essential to how the site works; others help with analytics.

8. Marketing Communications
We may send you marketing emails or texts about our services and offers, but only where permitted by Canada's Anti-Spam Legislation (CASL) and, where required, with your consent. You can opt out at any time by clicking unsubscribe in any email, replying STOP to any marketing text, or contacting us using the details at the end of this Policy.
Opting out of marketing does not stop transactional messages related to your active reservation or rental, such as confirmations, receipts, and return reminders.
9. How Long We Keep It
We keep personal information only as long as needed for the purposes it was collected, or as required by law:
- Rental agreements, invoices, and payment records: at least 6 years, as required by Canadian tax and business record rules
- Copies of driver's licences and identity documents: the duration of the customer relationship plus a reasonable period after
- Telematics and GPS data: retained only as long as needed for the rental period, plus any investigation or claim it relates to
- Customer support communications: up to 3 years
- Website analytics data: typically 14 to 26 months
When information is no longer needed, we securely delete or anonymize it.
10. How We Protect It
We use reasonable technical and organizational safeguards to protect personal information against loss, misuse, unauthorized access, disclosure, and alteration. These include access controls, encryption in transit, and staff training. No system is completely secure, and we cannot guarantee absolute security of information transmitted over the internet, but we treat this responsibility seriously.
11. Where Your Information Is Processed
Your information is primarily processed in Canada. Some of our service providers (for example, cloud hosting and analytics providers) may process information in the United States or other countries. When that happens, your information is subject to the laws of those countries, including any lawful government access. We take steps to ensure your information receives protection consistent with Canadian standards.
12. Your Rights Under PIPEDA
You have the right to:
- Access the personal information we hold about you
- Ask us to correct information that is inaccurate or incomplete
- Withdraw consent for uses that are not essential to your rental
- Ask a question or raise a concern about how we handle your information
- File a complaint with the Office of the Privacy Commissioner of Canada if you believe we have not handled your information properly

13. Children
Our services are not intended for anyone under 21, which is the minimum age to rent a vehicle from us. We do not knowingly collect personal information from anyone under this age. If you believe a minor has provided us with personal information, please contact us and we will delete it.
14. Changes to This Policy
We may update this Privacy Policy from time to time. When we make material changes, we will update the "Effective Date" above and, where appropriate, notify you by email or through a notice on our website. We encourage you to review this Policy periodically.
15. Governing Law
This Privacy Policy is governed by the laws of the Province of Ontario and the federal laws of Canada that apply in Ontario.
